Lab report software with WhatsApp delivery built in
Lab report software with WhatsApp sends each signed report straight to the patient's phone, from the lab's own verified number, the moment the pathologist validates. PathLab Software does this for every report, in Tamil or English, with no per-report fee and a delivery record for every message.

How does WhatsApp report delivery work?
Five steps, all automatic after the first: nobody at the front desk forwards a file by hand.
Record consent at registration
The front desk asks whether reports may be sent on WhatsApp and records the answer on the patient; doctor copies go only to the referrer named on the order and can be switched off per referrer.
Validate the result
The pathologist reviews flags and delta checks and validates; the report is signed electronically, fingerprinted with SHA-256 and gets a QR verification code.
Send automatically
PathLab Software sends the signed report and its verification link from the lab's WhatsApp Business number using an approved utility template (sandbox until your provider credentials are added).
Copy the referring doctor
The doctor receives the same report link with abnormal values summarised in the message text, with no login needed.
Log delivery
Each send is logged against the report with recipient, time and status for your NABL evidence file.
What do patients and doctors receive?
The patient
A short, neutral message naming the tests and the signing pathologist, the signed report with your header, reference ranges and H/L flags, and an optional short explainer in Tamil or English that says what is normal and what is high without ever giving a diagnosis. A QR code lets anyone holding the report check it against the lab's record; see a sample report.
The referring doctor
The same signed PDF, with the abnormal values summarised in the message text so the doctor can act without opening the file. Replying "history" returns the patient's previous results side by side. Critical values also trigger an automatic call with retries, escalation and an acknowledgement log, which supports but never replaces the lab's duty to inform. See the referring-doctor desk.
WhatsApp Business app vs lab report software with WhatsApp
Many labs already send reports from the WhatsApp Business app on a front-desk phone. That works for 20 reports a day and breaks at 100. The table shows what changes when the lab software sends the report itself through Meta's WhatsApp Business Platform.
| Manual, from the WhatsApp app | PathLab Software | |
|---|---|---|
| Who sends | Whoever has the phone | Automatic on validation |
| Wrong-patient risk | Attach the wrong PDF to the wrong chat | Report and number come from the same order |
| Delivery record | None | Every send logged against the report |
| Consent | Assumed | Recorded at registration, per patient |
| Amended reports | Re-sent if someone remembers | Re-sent to everyone, marked "Amended" |
| Bulk-sending ban risk | High on a consumer number | Official platform, approved templates |
| Doctor copy | Separate forward | Automatic, with abnormal values in the text |
Is it allowed to send lab reports on WhatsApp in India?
Yes, with consent and a clear purpose. India's Digital Personal Data Protection Act 2023 is built around informed consent and purpose limitation: the lab should ask at registration whether the report may be sent on WhatsApp, separately whether it may be shared with the referring doctor, and then use the number only for what the patient agreed to. PathLab Software records the WhatsApp answer on the patient record, sends doctor copies only to the referrer named on the order (switchable per referrer), and logs every send. Patients can withdraw consent at the front desk, and deletion requests are honoured. A separate doctor-sharing consent and a STOP keyword are planned.
How are sensitive reports protected?
Phones are shared in many Indian families. For tests such as HIV, pregnancy or drug screens, the lab today decides at registration: untick WhatsApp consent for that patient and hand the report over in person. A per-test rule that sends only a notification and releases the report after an OTP or date-of-birth check is planned, not yet live.
What does WhatsApp report delivery cost?
Meta charges businesses for template messages on the WhatsApp Business Platform; a report notification is a utility template, priced far below marketing messages in India. Some lab software vendors resell this as "WhatsApp packs" or limit WhatsApp to their top plan. PathLab Software includes report delivery in every plan, from Basic at ₹1,999 a month, with no per-report fee. See PathLab Software pricing for what each plan includes.
How fast does the report reach the patient?
As fast as the lab validates. With analyzer interfacing, results arrive in the worklist seconds after the run, and a pathologist can validate from a phone. A routine CBC can reach the patient's WhatsApp soon after the pathologist validates, which is the turnaround patients and referring doctors notice. For the detailed setup, including Meta template approval, read the guide on sending lab reports on WhatsApp automatically.
WhatsApp lab report questions
Is it legal for a lab to send reports on WhatsApp in India?
Yes, when the patient has consented and the lab uses the number only for the purpose agreed, which is the core of the DPDP Act 2023. PathLab Software records WhatsApp consent at registration, sends from the lab's WhatsApp Business number and logs every send.
Does PathLab Software charge per WhatsApp report?
No. PathLab Software includes WhatsApp report delivery in every plan from ₹1,999 a month, with no per-report or per-message fee for normal report sending. Verifying your lab's WhatsApp Business number and getting the report templates approved by Meta is done free during setup.
Can I use my lab's existing WhatsApp number?
Usually yes. A number on the WhatsApp Business app can be moved to the WhatsApp Business Platform that PathLab Software uses, typically within a day. Chat history stays on the old phone as an export; new reports then go out automatically from the same number patients already know.
What if the patient does not use WhatsApp?
Untick WhatsApp consent at registration and PathLab Software does not send; the front desk prints the report or shares the verification link another way. Automatic SMS fallback is planned. Every report carries a QR code, so printed copies can be verified against the signed original.
How are HIV or pregnancy reports protected on WhatsApp?
Today, the lab controls this at registration: untick WhatsApp consent for that patient and hand over the report in person. A per-test rule that sends only a notification and releases the report after an OTP or date-of-birth check is planned, not yet live.
What happens if a report is corrected after it was sent?
Re-validating marks the report Amended, re-signs it and logs who changed it and when; the verification link then shows the amended status, and the lab re-sends it to the patient and referring doctor from the Reports page.
