How do collection centres and franchises work in PathLab Software?

Each partner is a B2B account: a collection centre (partner point), a franchise, a hospital that outsources its tests, or a corporate client. The account carries its own rate list, an optional credit limit and a running ledger. Orders billed "on credit" to the account post to the ledger automatically; payments, credit notes and adjustments are recorded with a reference such as a UTR or cheque number, and the monthly statement goes to the centre on WhatsApp.

What does the centre login show?

The centre signs in at /centre with its centre code and a 6-digit PIN (captcha, lockout after five wrong PINs). It sees only the samples it referred in the last 30 days with their status, the signed reports of its own patients, its ledger and monthly statement, and the manifests it has sent. It can tick the samples in today's box and send a transfer manifest; it cannot see any other centre or patient.

How are samples tracked from centre to hub?

A transfer manifest lists every tube in a box: barcode, patient, sample type, tests and collection time, plus courier and box temperature. Print it for the box, mark it dispatched (samples move to "in transit"), and at the hub tick each tube as it arrives. Unticked tubes are flagged as missing so the follow-up call happens the same day, and chain of custody stays in the audit trail.

Can we track samples we send out to a reference lab?

Yes. A hub-to-partner manifest records samples outsourced to a reference lab, for example for histopathology or special tests, with the partner name, courier and dispatch time. You see what is out, since when, and what has come back; the result is then entered against the same barcode.

Is paying doctors for referrals supported?

No. Statements list patients, tests and amounts for lawful B2B arrangements such as hospital outsourcing or franchise agreements. Paying doctors for referrals is restricted in India by NMC professional-conduct regulations and state rules, and each lab must follow applicable law.

How long does setup take?

Is patient data shared with other centres?

No. Each centre or hospital login sees only the samples and reports it referred. Data is hosted in India, encrypted in transit and at rest, and every sign-in and report view is logged, with WhatsApp consent recorded per patient as the DPDP Act 2023 expects.

Can I export accounts to Tally?

Yes. Accounts can be exported every month as a Tally XML voucher file (sales invoices and receipts) and as a GST sales register CSV; ledger names are configurable. Import into a copy of your company in Tally first.
